They’ve built a modern, performance-driven practice that removes bottlenecks, leverages technology, and enables their legal team to focus on what matters most: winning cases and delivering results for clients.

They’re now looking for a Medical Records & Evidence Coordinator to play a critical role at the foundation of their litigation engine. What You’ll Be Doing

As the Medical Records & Evidence Coordinator, you’ll be responsible for ensuring every piece of supporting documentation is requested, received, and organized before the legal team even needs to ask. You’ll be the driving force behind eliminating delays caused by missing records and keeping files moving with consistency and speed.

In practice, that means:

  • Managing and tracking a high volume of medical records and evidence requests across multiple files

  • Proactively following up with hospitals, clinics, employers, and third parties to ensure timely delivery of records

  • Establishing and maintaining a structured follow-up cadence to eliminate delays

  • Organizing and digitizing incoming records, ensuring all documents are properly named, searchable, and filed within tight timelines

  • Supporting multiple legal teams simultaneously by maintaining full visibility into the status of all requests

  • Building relationships with external providers to improve turnaround times

  • Reviewing invoices related to records to ensure accuracy and cost efficiency

  • Identifying process gaps and contributing to improvements in workflows and documentation standards


What You Bring

Non-negotiable requirements:

  • 1–3 years of experience in an administrative or document-heavy role (legal, insurance, or healthcare preferred)

  • Experience working in a fast-paced, deadline-driven environment

  • University degree or college diploma mandatory

Strong assets:

  • Experience in a law firm, personal injury environment, or medical records setting

  • Familiarity with medical terminology and Ontario healthcare providers

  • Legal Assistant or Law Clerk diploma

Beyond experience, you are:

  • Highly organized and detail-oriented, with the ability to manage hundreds of active requests simultaneously

  • Persistent and proactive you follow up until you get results

  • Tech-savvy, with strong skills in document management tools and PDF software

  • Process-driven, with a focus on consistency and efficiency

  • Accountable and ownership-minded, treating every file as your responsibility
